Venue Coordinator vs. Wedding Planner: Who Does What?

Two People, Two Very Different Jobs

Picture this: the florist has a question, the ceremony is running a few minutes behind and someone needs to know where the extra chairs belong. Your wedding day should not become a group chat in formalwear. That's why it's worth understanding the difference between a venue coordinator and a wedding planner. They're both important, but they aren't interchangeable.

What the Venue Team Does

At Bentley Farms, our venue team focuses on the property and the venue's responsibilities: access, approved spaces, property guidelines, and operational questions related to your reservation. We're here to help you understand the setting you've booked and how it functions. We are not your full-service wedding planning team, and we don't direct all of your outside vendors or manage every personal detail of your celebration.

What Your Wedding Professional Does

Your hired planner or coordinator is the person focused on the event itself. Depending on the service you book, that can include building or reviewing the timeline, communicating with vendors, coordinating the ceremony and helping keep the celebration moving. Full-service planning may begin months earlier; month-of coordination is narrower in scope. Ask prospective professionals exactly what their packages include, when their work begins and whether they stay through key transitions.

Why Bentley Requires One for Every Wedding

Every wedding at Bentley Farms has a professional wedding planner, and we highly recommend one from our Signature & Preferred Partners (opens in a new tab), who know the estate by heart. This isn't about insisting that every couple buy the biggest package. It's about making sure there's someone dedicated to the moving pieces of the wedding while our team concentrates on the venue. Your guests get a more seamless experience, your vendors have a clear point of contact and you have a better chance of enjoying the party you planned.

A Few Questions Before You Hire

Who will build the final timeline? Who confirms arrival details with vendors? Who cues the ceremony and reception transitions? Who handles unexpected changes on the day? The answers will vary by package, so ask before signing. The best choice is the level of support that matches your plans, your budget and your comfort with handling details in advance.

Two Teams, One Lovely Day

We love a wedding where everyone knows their role and the couple gets to be fully present. When your coordinator and our venue team work in their respective lanes, the whole experience feels easier. Come see how the spaces at Bentley Farms fit together, and ask us about our planner requirement during your visit.
