FREQUENTLY ASKED QUESTIONS

A Few Things You Might Be Wondering

Planning a visit, a wedding, or another gathering? Here are answers to some of the questions we hear most. Looking for something else? Get in touch. We’re happy to help.

Where is Bentley Farms?

Twelve peaceful acres at 4535 Lincoln Highway in York, Pennsylvania, just minutes off Routes 30 and 83. We are under an hour from Harrisburg and Baltimore, and an easy one-and-a-half to three-hour drive from Philadelphia, Washington, D.C. and New York City, close enough to feel effortless and far enough to feel like an escape.

Can we stop by to look around?

To protect the privacy of the couples celebrating with us, the estate is visited by appointment only. Schedule a private tour (opens in a new tab) or join one of our open houses. During peak wedding season, evening and weekend tour times fill quickly, so we recommend booking ahead.

Are there hidden fees or service charges?

There are no service fees at Bentley Farms. A refundable damage retainer is required for both venue and mansion reservations. Ceremonies on the estate are an additional $900*, which includes your choice of ceremony site, setup and teardown of chairs for up to 200 guests, and a rain backup plan. The final balance and a refundable damage retainer are due 90 days before your celebration.

*Ceremony fees are not included in wedding pricing.

How many guests can the estate welcome?

There is no minimum, so small, intimate weddings are always welcome. The Preserve seats up to 200 guests with a dance floor, or up to 250 for seated dining without one. We provide tables and chairs for up to 200 guests.

What is included with a wedding?

Every wedding includes use of the 12-acre estate from 9 AM to 11 PM, with exclusive access beginning at noon (tours may take place before noon). You'll have the climate-controlled historic barn with The Preserve and the Lincoln Lounge, two getting-ready suites (the Primrose Bridal Suite in the mansion and the Tack Room Groom's Lounge in the barn), setup and teardown of reception tables and chairs for up to 200 guests (linens not included), up to four portable wooden bars, the gardens, pond and bridge, spring-fed creek, forest and fields, on-site parking with a staffed golf cart for guests who need assistance, and a one-hour weekday rehearsal scheduled around venue and planner availability. Ceremonies are an additional $900*.

*Ceremony fees are not included in wedding pricing.

What does a wedding at Bentley Farms cost?

See our wedding pricing guide for current rates by season and day of the week. Pricing for 2028 through 2029 may increase by up to 20%, so booking early secures the best rates.

How do we reserve our date?

Once you've chosen your date, we'll hold it for up to 10 days while you get together your signed agreement and your choice of reservation retainer: 25% or 50%. If you choose 25%, the second 25% is due 60 to 90 days after the first. Your date is officially yours once your agreement and retainer are in. The final balance and a refundable damage retainer are both due 90 days before your wedding. Event insurance is required: a $2M general liability policy listing Bentley Farms, LP as additional insured. Our BriteCo venue link has the right coverage already set up. We are currently reserving dates through 2029.

Do we need a wedding planner?

Yes. Every couple works with a professional wedding planner. Our venue coordinator and your planner play different roles. Our venue coordinator looks after the estate itself: venue operations, logistics, staffing and communication with your vendors about the property. Your planner manages your timeline, decor setup and the direction of your vendors throughout the day. Together, they keep your celebration seamless. For the best experience, we highly recommend choosing a planner from our Signature & Preferred Partners (opens in a new tab). They know the estate, our team and our logistics by heart, so every moment can unfold beautifully, from the first detail to the last dance. Read more about the difference.

Can we bring our own vendors? What's your policy?

Our Signature & Preferred Partners (opens in a new tab) are a big part of why celebrations here feel so effortless. They know the estate, our team and our logistics by heart, so you can plan with total confidence. Have someone else in mind? Outside vendors are welcome too. For planners, we highly recommend choosing from our partner list (opens in a new tab). Every vendor must be licensed and meet our insurance requirements, and a vetting fee applies to vendors outside our Signature and Preferred Partners who are booked less than 6 months before your event. Caterers must be full service, and all bartenders must be RAMP certified.

Help! I don't want to pick all our vendors myself.

You don't have to. Amber, our Marketing Director, manages our vendor partnerships and knows our Signature & Preferred Partners personally. Tell her your style, budget and priorities, and she'll help connect you with a team that's just right for you. Tap Connect with Bentley Farms in the chat to text or email Amber.

What are your insurance requirements for vendors, events and weddings?

Couples and event hosts: Event insurance is required for every wedding and event: a $2M general liability policy listing Bentley Farms, LP as additional insured. Our BriteCo venue link has the right coverage already set up.

Vendors: Every professional working on site needs a Certificate of Insurance on a standard ACORD form. That includes caterers, bartenders, photographers and videographers, DJs and musicians, equipment and tent companies, florists and decor installers, planners, hair and makeup artists, pet handlers, event nannies and live event services.
• General liability of at least $1,000,000 each occurrence and $2,000,000 aggregate
• Bentley Farms, LP; Timothy F. Pasch Inc.; and Timothy F. Pasch listed as additional insureds (ADDL INSD marked on general liability)
• "Coverage is provided on a Primary and Non-Contributory basis" in the Description of Operations
• Sent to our events email at least 45 days before the event and finalized no later than 30 days before. Vendors without approved coverage can't work on site.

Food and bar service: Anyone serving alcohol needs at least $2,000,000 in liquor liability. All bartending staff must be RAMP certified, a ServSafe certified catering manager must be on site, and catering and bar staff must be full service (setup, service and cleanup). Vendors without coverage can buy affordable single-event insurance online, for example through BriteCo or Eventsured.

What time does the celebration wind down?

Here's how the evening wraps up: music and dancing end by 10 PM, bar service ends 30 minutes before your celebration concludes, and guests, vendors and catering depart the estate by 11 PM.

What if it rains?

Choose from three outdoor ceremony sites: The Wedgewood, Hidden Creek and the Overlook Pavilion. Every ceremony comes with a weather backup plan: you'll confirm your primary ceremony site and backup 14 days before the wedding. Two days before, we check in on the forecast together, and the final choice is made by 5 PM that day. The covered Overlook Pavilion is our main rain plan, and an indoor ceremony in The Preserve, the upper level of our climate-controlled barn, is also available.

Are there any decor guidelines?

To protect our historic buildings, only battery-operated or enclosed candles are allowed, with no open flames. Sparklers are welcome for outdoor exits. Please skip glitter, rice, confetti, silly string and birdseed. Nothing may be fixed to walls, beams, trees or fixtures, and all decor and equipment are dropped off and picked up within your reservation hours.

Can our pets be part of the day?

Of course. Dogs and other pets are welcome outdoors, as long as they're leashed and stay with a designated handler at all times. Pets aren't permitted inside our buildings; only service animals are allowed indoors. Owners and handlers are responsible for cleanup and any damage. Specialty guests such as beer donkeys, mini cows or alpacas must come from a professional, insured provider.

Is the estate accessible?

Yes. The estate has an ADA-accessible entrance and restrooms, on-site parking, and a staffed golf cart for guests who need assistance.

How do event reservations work?

Event reservations start with a three-hour block, and additional hours can be added. Custom reservation blocks and overnight stays in the mansion are available.

I'm a wedding professional. How can we work together?

We would love to meet you. Send a vendor partnership inquiry through our contact page. We host a vendor mixer at the start of each year and refresh our Signature and Preferred Partner list at that time.

Is smoking allowed?

Bentley Farms is smoke-free. Smoking and vaping aren't permitted in any building, on the lawns or in the Rosemary Courtyard. Smoking is allowed only in the designated area by the outdoor fire pit.
